Executive Assistant - Head Global Assurance [Luxembourg]


 

Main responsibilities and accountabilities:

  • Provide support as required on audit, forensic and SOX projects / matters. This will allow EA to prepare for a future move into the Global Assurance organization.
  • Provide support as required to prepare meetings with key Stakeholders internally and externally.
  • Provide support in preparing presentations over Global Assurance activities for stakeholders.
  • Support on HR related matters in collaboration with HR for Corporate functions.
  • Support in follow-up of compliance related matters with Group Compliance team.
  • Follow-up with accounting and BCOE on cost related matters
  • Support on follow-up of external audit fees.

Other task will include:

  • Support on scheduling meetings, setting up conference calls and physical workshops
  • Organising internal and external events/meetings
  • Welcoming and hosting external and internal visitors
  • Preparing and supporting in the preparation of presentations (power point)
  • SAP-time interface :
    • Manual recording/correction of leaves, teleworking, and sickness leaves
    • Reply to employees’ questions or issues related to the records of their absence/TW requests and their holiday balance
    • Inform employees of specific internal rules related to annual leaves and closure ( e.g. FU /JR / CP, year-end closure…)
  • INTEGRA-SRM:
    • Creation of purchase orders and good receipts
    • Follow-up of purchase orders and payments
    • Check invoices and/or allocations to the department cost centres

What you’ll need:

Working in a fast-changing multilingual environment with a wide diversity of tasks requires:

  • Be at least bi-lingual French / English with ideally a good command of German/Luxemburgish
  • Good communication skills and excellent inter-personal skills

Education/qualification : Bachelor’s degree in Finance / Accounting / Auditing or Economics

Experience:

  • A previous experience as in finance / accounting / auditing role will be an asset.
  • A previous experience in an international and multicultural environment will be considered as an asset

Languages :

  • English (advanced)
  • French (advanced)
  • Any additional languages will be considered as a plus (e.g. Germany, Luxemburgish)
