Help the Body Shop and Retailer to achieve highest standards of process efficiency

Key Tasks

Objective: Maximise profitability through the use of professional sales techniques

Ø To continually, (and without exception) provide concise and accurate Repair Specifications, in direct relation to the requirements and authorities of the companies current scope of repair category or, as a minimum, defined by the requirements of PAS 125:2011.

Ø To ensure, as a minimum, the identification and inclusion of all necessary repair tasks required, as defined by the recognised method of repair, having been researched from the vehicle manufacturer's methods, Thatcham's eScribe &/or other industry approved method of repair for all vehicles.

Ø To adhere at all times to all company standards, all internal & external processes and procedures, communication systems and company &/or Industry best practices as may be defined &/or documented as a company or industry standard.

Ø To professionally negotiate accurate repair costs based upon the recognised method of repair in direct consideration of each SLA that may be currently in place.

Ø To remain fully aware of all sections and sub sections for all work provider Service Level Agreements' (SLA's) and to accurately ensure their application in direct relation to each repair specification.

Ø To sell additional products, services and repair works (up sell / Add Sale) in a professional, consistent and reliable manner

Objective: Maximise customer awareness of all available services.

Ø Ensure customer awareness of all products and services available within the Bodyshop.

Ø Approach all customers in a polite and professional manner and assist with any request, including requests for costing of vehicle repairs, parts sales, vehicle sales and any other sales

Ø Maintain effective liaison with customers, insurance engineers and claims staff, parts department, workshops and sales teams in a timely and professional manner.

Ø Ensure the tidiness of the Body Shop reception and estimating offices to promote the professional image of the retail facility and that all displays / promotions, prices, materials etc. are current and in first class condition

Objective: Ensure the highest level of customer care and satisfaction at all times.

Ø Maintain a presence at the Body Shop reception desk, ensuring that all customer queries (whether in person or on the telephone) are answered or dealt with quickly and efficiently.

Ø Answer customer's questions regarding technical problems in a manner that is easily understood and does not use excessive jargon, or to find an appropriate member of staff to do so.

Ø To ensure that customers are notified promptly of completion of work.

Ø Ensure account customers have sufficient credit to enable all work advised to be carried out as agreed

Ø Handle dissatisfied customers calmly and all customer complaints to be brought to the attention of the Bodyshop Manager

Objective: Maintain excellent standards of departmental administration.

Ø Initiate job documentation and maintain customer records and follow-ups and documentation systems

Ø Follow correct company procedures when issuing loan cars to customers, ensuring all paperwork is completed correctly and copies of customer's driving licence are obtained (when applicable)

Ø Accurately maintain all information systems, repair documentation and related repair records.

Objective: Help Body Shop to achieve industry-leading standards of process efficiency

Ø Provide accurate costing of repair specifications according to company policy on schedules, time and pricing, calculating accurate charges for all parts, labour tasks, paint & materials and other required areas of cost.

Ø Promptly prepare and present invoices following completion of work, ensuring all work has been carried out as detailed and charged for and obtain payment in line with company procedures

Ø Receive and register payments for work carried out and ensure that the correct company procedures are adopted for verification of payment, handling, transferring and depositing cash for the Body Shop (if applicable)

Ø Ensure compliance with all health and safety / environmental and all company policies

Undertake other tasks and responsibilities as requested by Operations Managers
