Job Description:
The Role

An opportunity has arisen for an experienced candidate to provide comprehensive secretarial and administrative support to a Partner and 2 Directors within Financial Services Management Consulting. The successful application will require initiative, flexibility and discretion. The individual will need to have exceptional organizational, communication and administrative skills and will be required to plan and organize their workload to meet tight deadlines. The grade of this role is E2 and is based in Canary Wharf. This is a 6 month FTC. Key Responsibilities

  • Maintain full control of Partners / Directors diaries. Co-ordination and management of complex diary arrangements; organizing meetings and agendas and preparing papers for meetings.
  • Manage the Partners / Directors inbox’s proactively, checking, sorting and action where possible.
  • Arrange full and complex travel itineraries (domestic, European and International) including visas, accommodation, transport, transfers etc.
  • Anticipate future workload to ensure the partners / directors are properly supported with appropriate documents, briefings, scheduled meetings etc.
  • Create successful working relationships within a wider PA network and key personnel business to facilitate open communication and co-operation across the business.
  • Screening calls, taking detailed messages and handling queries where appropriate.
  • Preparation of expense claims and Amex payment as well as updating client details on CRM and Outlook.
  • Draft replies to incoming correspondence and maintain filing systems.
  • Produce high quality reports, correspondence, minutes, file notes and faxes, from macros and non-standard documents to tight deadlines.
  • Produce PowerPoint graphics, copy/audio typing and Excel spreadsheets.
  • Ensure all filing systems and archive records are accurate and up-to-date.
  • Have a high level knowledge of internal databases and systems including:
  • Outlook
  • CRM
  • E-Expenses
  • Timesheets
  • E-Billing, Dialogue
  • Paperchase
  • Factiva
  • Act as a reserve secretary to other client staff and the rest of the partner group as and when required.
  • Ad hoc duties as required
Qualifications and Skills
  • Solid experience as a secretary supporting 1 or 2 senior staff
  • 5 GCSEs or equivalent at grades A-C including English and Maths
  • Accurate copy typing at 50 wpm
  • Advanced level in MicroSoft Word, intermediate level in PowerPoint and Microsoft Excel
