Purpose of the job:

As an Administrator working within the Business Process and Analysis team, you will provide administrative support to various teams across the AHRC. You will be required t o provide administrative support to the grants teams with regards to the provision of research funding processes.

You will be one of the first points of contact for external enquiries received by AHRC and will provide general advice and guidance to researchers and other stakeholders in relation to AHRC policy, funding provision and processes. The role will require you to support meetings and events both internal and external, including making travel and accommodation arrangements and processing expenses claims.

Duties and Responsibilities:

  • acting as a first point of contact to the AHRC for academics and university staff, providing guidance via email and phone
  • interpreting written regulations and procedures and clearly communicating them to external stakeholders
  • arranging and booking all travel and accommodation requests for AHRC staff
  • providing support for funding meetings including inviting and tracking responses for exte rnal attendees, arranging meeting venues and booking catering, travel and accommodation
  • following guidance documents to process expenses claims for external and internal stakeholders
  • providing front line support to external users of AHRC web-based systems and to liaise with colleagues to ensure site content is up to date
  • supporting the procurement process including generating purchase orders and coordinating payments
  • contributing to the on-going review of policies, procedures and systems within our grants service, helping to ensure efficiency and value for money
  • assisting with a variety of projects as designated by the Business Process Manager, including strategic programmes, cross-organisational and/or cross- Research Council initiatives.

Knowledge, Skills and Experience:

Essential:

  • four GCSEs including Mathematics and English at grade C and above or equivalent
  • strong previous administrative experience
  • ability to be an effective team worker whilst also being able to work flexibly and use their own initiative when required
  • good working knowledge of IT (Windows, Word, Outlook, Excel)
  • a high standard of written and verbal communication and the ability to answer queries from a range of stakeholders clearly and effectively
  • ability to organise and prioritise work in order to meet strict deadlines and to ensure that conflicting demands are met whilst remaining calm
  • a proactive and flexible approach in providing support to colleagues at all levels
  • ability to establish and maintain good working and professional relationships with a range of colleagues and external contacts
  • attending and providing support at AHRC organised events across the country.

Desirable:

  • a basic understanding or experience of Research Council business.
