Accounts Payable Coordinator [Canada]


 

Job Description

This position is responsible for ensuring that all invoices & payment requests are properly authorized, coded and paid on time.

What you’ll be doing:

  • Gather invoices electronically and ensure payment approval and accurate coding by authorized signatories.

  • Follow-up on invoice and purchase order discrepancies, with vendors or managers as necessary.

  • Maintain and create new vendor information & ensure correct banking information.

  • Enter invoices to Accounts Payable system.

  • Select invoices due for payment and create an EFT file for signing officer approval & bank processing.

  • Reconcile all company visa statements.

  • Verify staff reimbursement expenses from Concur database and upload to Accounts Payable system.

  • Reconcile vendor accounts and statements.

  • Assist with external audits relating to invoices.

  • Calculate and pay Hotel tax and Provincial sales tax monthly.

  • Calculate and pay quarterly Translink parking tax.

  • Assist with managing Petty cash fund.

  • Assist with inventory management of client transit passes and gift cards.

  • Other duties as required.

What you’ll need:

  • 3 – 5 years applicable experience.

  • Basic accounting courses or equivalent in experience.

  • Strong organization ability to be able to meet many deadlines.

  • Strong accuracy.

  • Excellent customer service skills (both internal & external)

  • Ability to analyze information and problem solve.

  • Working knowledge of accounting software and excel.

  • A valid clear criminal record check (including working with vulnerable populations) is required.

  • The YWCA Metro Vancouver’s COVID-19 vaccination policy is currently suspended and as a result, vaccination from COVID-19 is not required at this time. However, should circumstances change and the YWCA deem it necessary to reintroduce such policy, you may be required to provide proof of vaccination against COVID-19 in order to be eligible to continue performing your duties

Bonus qualities (but not required)

  • Experience in Sage 300 and Concur software.
