WHO WE’RE LOOKING FOR
The role of Head of Project Management requires an experienced project manager, skilled in operations with a strong technical background in system integration, consulting and/or website projects. You will be required to lead our Project Management team as they navigate the day-to-day happenings within their portfolio of projects. You have a solid understanding of project management principles with a strong focus on risk and change management.
You thrive on solving for the customer, actively identifying issues and problems, generating solutions and helping choose appropriate alternatives.
You serve as a role model to your team in promoting good working relationships across a project. Acting as a champion for our ways of working, you are constantly problem-solving with the senior team in driving solutions to challenges faced in the day-to-day management of projects. Coaching and mentorship of the Project Managers is a daily practice, ensuring each individual team member achieves success.
These will be your key performance areas:
1) Team Leadership
- Weekly 1-2-1’s with your direct reports building trusting relationships.
- Building a healthy team culture through knowledge share sessions (the PM Knowledge College) and ongoing team-building exercises. Your team should always feel included, considered and empowered to drive success.
- Daily troubleshooting, coaching and mentoring your Project Management team with issues / questions / upskilling requirements that come up in relation to how to deal with project risks and issues, change management, client communication and the like.
- Have oversight on the overall status of projects using the Project Health Report as the center of your conversations with your team. This means being actively aware when there are projects running over in time and/or budget and working with your PM’s to resolve these issues.
- Growing and managing areas of expertise for each Project Manager mirroring the Huble project types (Marketing, Sales, Web, CRM, etc.)
- Client escalations. Being able to drop everything and jump into managing a client escalation with your team member to bring it to swift resolution. Most importantly, doing everything in your power to prevent client escalations from occuring in the first place by addressing root causes related to the PM team.
- Holding your team accountable for Huble’s PM best practices including g-drive management, contact and update reports, project plan sharing and completion of the monthly Project Health Report.
- Problem-solving and championing change working with your Project Management Country Leads.
- Be willing to get your hands dirty / get stuck in to Project Management as and when required.
2) People Management
- Running quarterly and annual appraisals working with each team member on their KPI’s and long-term career development goals.
- Daily coaching with PM’s focussing on the individuals strengths and weaknesses.
- Performance management when there are underperforming team members.
- Annual Leave approvals and management ensuring you run an effective leave support system.
- Team loading management ensuring that each team member is accurately loaded with the volume of work based on their level of seniority, expertise, as well as other internal/external factors.
- Capacity forecasting to identify where there are future needs for new PM’s and being prepared well in advance, working with the Huble recruitment team where needed.
- Take ownership of the onboarding plan for new team members, as well as managing handovers with staff leaving the organization.
3) Business Management
- Step into client calls and other forms of communication as and when required ensuring that our customer experience is of the highest level.
- Have a handle on the Project Management Team financials in terms of monthly and annual revenue generated, costs, and profit.
- Responsible for managing the budget for third party suppliers where needed.
- Actively engage with the Leadership team on improving Huble’s service delivery attending the Weekly Business Review (WBR) and Monthly Business Review (MBR) to unpack, solve and monitor business challenges.
- Report on your PM team progress and the overall health of the projects on a monthly basis in MBR, or as required.
- Be innovative. Constantly drive change and improvement in your line of business as Huble grows. Run a line of business that makes sense :)
Requirements
This role is best suited for someone who has the following:
- A bachelor's degree or equivalent in a related field
- A minimum of 5 years experience Project Management
- Be proficient in Project Management Methodologies, preferably with formal training
- Experience in leading a team
- Have experience in a Consultancy, Agency or Software development organisation
- Have sound knowledge of financial management
- Have experience with Project Management Software such as Mavenlink, Accelo, TeamGantt and/or Monday.com
- Be proficient in Google applications including Google Docs, Google Sheets and Google Mail
